Privacy Policy

Last updated: 5 September 2026

This policy covers personal data we collect through this website and through enquiries and bookings made from it. Personal data we process on behalf of a client, inside a system we built for them, is governed by that client's own policy and our data processing agreement with them — not by this one.

1. Who is responsible

aiAdaptiv, a company registered in Poland, is the controller for the personal data described here.

Questions, or any request under section 8: kacper@aiadaptiv.com

2. What we collect

If you contact us, whatever you choose to send: your name, email address, company, and the content of your message.

If you book a call, the name, email address and any answers you give in the booking form, plus the time you chose. Bookings are handled by Cal.com and the call itself may run on Cal Video.

If you consent to analytics, usage data about your visit: pages viewed, approximate location derived from IP, device and browser type, and referring site.

If you use live chat (Crisp) after consenting, the messages you send and any name or email you share in the conversation.

Basic request data is logged by our hosting provider for security and reliability, including IP address.

3. Cookies and analytics

No analytics, advertising, or live-chat storage is set until you accept it in the banner. We use Google Consent Mode v2, which denies those storage types by default and grants them only after you accept; declining leaves them denied.

With your consent, we use:

• Google Analytics 4 (provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland) to understand how the site is used: pages viewed, approximate location, device type, and session duration. Google Analytics uses cookies (_ga, _gid) and may process your IP address. Legal basis: your consent (Art. 6(1)(a) GDPR). Data is transferred to Google LLC in the USA under the EU-US Data Privacy Framework and the European Commission's Standard Contractual Clauses. Google retains Analytics data for 14 months; we may configure a shorter period. You may withdraw consent at any time by declining cookies in the banner or clearing your browser storage.

• Live chat (Crisp, provided by Crisp IM SAS, France) so you can message us from the site. Crisp uses cookies (crisp-client) and may process your IP address, device information, and the content of the conversation, including any name or email you choose to share. Legal basis: your consent (Art. 6(1)(a) GDPR). Data is processed in the EEA; some subprocessors may be outside the EEA under the European Commission's Standard Contractual Clauses. You may withdraw consent at any time by declining cookies in the banner or clearing your browser storage.

• Leadsy (r2.leadsy.ai/tag.js, provided by Leadsy sp. z o.o., Poland) for visitor and company identification to help us understand which organizations visit our site. Leadsy may process IP addresses and company domain information. Legal basis: your consent (Art. 6(1)(a) GDPR). Data is processed in the EEA. Retention: as configured with Leadsy, typically 24 months. You may withdraw consent at any time.

We also use Vercel Analytics (provided by Vercel Inc.), which is cookieless and does not track visitors across sites. This does not require consent as it does not process personal data that identifies you.

Your cookie choice is stored in your browser so we do not ask again. Declining or withdrawing consent removes all tracking scripts and deletes associated cookies. Clearing your browser storage resets your choice.

4. Why we use it, and on what basis

To answer enquiries and run bookings — because it is necessary to take steps at your request before entering a contract, and because we have a legitimate interest in responding to people who contact us.

To keep the site secure and working — our legitimate interest in operating it safely.

To measure traffic with analytics — your consent, which you may withdraw at any time.

To meet accounting, tax and other legal duties — our legal obligations.

5. Who else sees it

We use service providers who process data on our behalf under contract: Vercel (hosting and analytics), Google (Analytics), Crisp (live chat), Cal.com (bookings and video), and our email provider for correspondence.

We do not sell personal data and we do not share it for advertising.

We may disclose data where the law requires it, or to establish or defend a legal claim.

6. Transfers outside the EEA

Some of those providers are established outside the European Economic Area, or use sub-processors that are. Where data is transferred outside the EEA, the following safeguards apply:

• Google Analytics: Data may be transferred to Google LLC in the USA. Google LLC is certified under the EU-US Data Privacy Framework, and data transfers are also protected by the European Commission's Standard Contractual Clauses. More information: https://privacy.google.com/businesses/compliance/

• Vercel (hosting and analytics): Data may be transferred to Vercel Inc. in the USA, protected by Standard Contractual Clauses and Vercel's EU-US Data Privacy Framework certification.

• Cal.com (bookings): Data may be transferred outside the EEA under Standard Contractual Clauses.

We will provide specific details of the transfer mechanisms on request.

7. How long we keep it

Enquiries and booking records: up to 24 months from our last contact, unless a contract requires longer.

Contract, invoicing and accounting records: 7 years from the end of the financial year in which the contract ended, as required by Polish tax law.

Google Analytics data: 14 months from the date of collection (configurable; we may shorten this period).

Leadsy visitor identification data: up to 24 months, as configured with the provider.

Server logs (security and reliability): 30 days, as set by our hosting provider.

Cookie consent preferences: stored in your browser until you clear your browser storage or change your choice.

8. Your rights

You may ask us for a copy of your personal data, to correct it, to delete it, to restrict or object to how we use it, and to receive it in a portable form. Where we rely on consent, you may withdraw it at any time without affecting what came before.

Write to kacper@aiadaptiv.com and we will respond within one month.

You may also lodge a complaint with the President of the Personal Data Protection Office (UODO), the Polish supervisory authority.

9. Children

This site is aimed at businesses. We do not knowingly collect personal data from children.

10. Changes

We may update this policy. The date at the top shows when it last changed; material changes will be flagged on this page.
