Privacy Policy

This policy covers personal data we collect through this website and through enquiries and bookings made from it. Personal data we process on behalf of a client, inside a system we built for them, is governed by that client's own policy and our data processing agreement with them — not by this one.

1. Who is responsible

aiAdaptiv, a company registered in Poland, is the controller for the personal data described here.

2. What we collect

If you contact us, whatever you choose to send: your name, email address, company, and the content of your message.

If you book a call, the name, email address and any answers you give in the booking form, plus the time you chose. Bookings are handled by Cal.com and the call itself may run on Cal Video.

If you consent to analytics, usage data about your visit: pages viewed, approximate location derived from IP, device and browser type, and referring site.

Basic request data is logged by our hosting provider for security and reliability, including IP address.

3. Cookies and analytics

No analytics or advertising storage is set until you accept it in the banner. We use Google Consent Mode, which denies those storage types by default and grants them only after you accept; declining leaves them denied.

With consent, we use Google Analytics 4 to understand how the site is used. We also use Vercel Analytics, which is cookieless and does not track visitors across sites.

Your choice is stored in your browser so we do not ask again. Clearing your browser storage resets it.

4. Why we use it, and on what basis

To answer enquiries and run bookings — because it is necessary to take steps at your request before entering a contract, and because we have a legitimate interest in responding to people who contact us.

To keep the site secure and working — our legitimate interest in operating it safely.

To measure traffic with analytics — your consent, which you may withdraw at any time.

To meet accounting, tax and other legal duties — our legal obligations.

5. Who else sees it

We use service providers who process data on our behalf under contract: Vercel (hosting and analytics), Google (Analytics), Cal.com (bookings and video), and our email provider for correspondence.

We do not sell personal data and we do not share it for advertising.

We may disclose data where the law requires it, or to establish or defend a legal claim.

6. Transfers outside the EEA

Some of those providers are established outside the European Economic Area, or use sub-processors that are. Where data is transferred outside the EEA, it is covered by the European Commission's standard contractual clauses or another lawful transfer mechanism. We will tell you which on request.

7. How long we keep it

Enquiries and booking records: up to 24 months from our last contact, unless a contract requires longer.

Contract, invoicing and accounting records: for the period tax law requires.

Analytics data: for the retention period configured in Google Analytics, currently 14 months.

Server logs: a short rolling period set by our hosting provider.

8. Your rights

You may ask us for a copy of your personal data, to correct it, to delete it, to restrict or object to how we use it, and to receive it in a portable form. Where we rely on consent, you may withdraw it at any time without affecting what came before.

You may also lodge a complaint with the President of the Personal Data Protection Office (UODO), the Polish supervisory authority.

9. Children

This site is aimed at businesses. We do not knowingly collect personal data from children.

10. Changes

We may update this policy. The date at the top shows when it last changed; material changes will be flagged on this page.
